 Great Meadow Grounds Info and Pictures Minimize

Rental Specifics:

The rental price includes the use of the grounds incuding set up and breakdown. Tent setup can happen the day before and breakdown on the first workday after the event.

An experienced Great Meadow staff member will be on site for the duration of the event. Parkers are provided for any event having over 35 vehicles. All food services at Great Meadow are subject to supervision by the Events Manager. You must use one of our approved caterers. If the caterer you would like is not on our list, please submit for approval more than 6 weeks before the event date.

The date will be reserved with a signed copy of the rental agreement and receipt of a $500.00 non-refundable deposit.

Price is calculated based on event, rental fees begin at $3,200.00 which will include parkers, trash pick-up, indoor and restroom use of Summer House.

Other expenses you can expect to pay:

  1. A refundable security deposit of $200.00 payable with the final payment of the facility rental fee. This amount will be refunded within 30 days of the event, less any amount to cover any damages.
  2. A banquet license must be obtained through the VA ABC only if there will be alcohol sold. (This usually is arranged through the caterer)
  3. A certificate of insurance naming Great Meadow Foundation as additionally insured must be provided to Great Meadow at least two weeks before the event. This can be arranged through your homeowner’s insurance agent.
  4. Rental costs for tents, chairs, tables etc.

 

Reservations for an event are assured upon a signed contract and deposit. Full fees including a certificate of insurance are due and payable no later than 45 days prior to the event. A security deposit over and above the rental fee and will be refunded within 30 day when all accounts are settled and if there are no infractions of the contract.Cancellations made less than six months prior to event date will result in forfeiture of the deposit.

A portion of the property rental fees are considered a tax-deductible contribution.
